Privacy Policy

Last updated: October 25, 2026

This Privacy Policy describes how Chanz Automation LLC, a Georgia limited liability company that develops and operates TowScribe ("Chanz Automation," "TowScribe," "we," "us," or "our"), collects, uses, and shares information when you use our software platform, mobile applications (including the TowScribe Android and iOS applications), and related services (collectively, the "Service"). TowScribe is a product of Chanz Automation LLC.

TowScribe provides dispatch management, fleet tracking, and communications software to towing and roadside-assistance businesses ("Customer Organizations"). The Service is offered to authorized employees, drivers, contractors, and administrators of those Customer Organizations. If you are using TowScribe through your employer or a company you contract with, that organization is responsible for your access and for the data it directs us to process about you.

1. Information We Collect

1.1 Information You or Your Organization Provides

  • Account information: name, email address, mobile phone number, password (stored as a salted hash), job role, employer / Customer Organization, and profile photo (optional).
  • Driver information: driver's license number, truck/unit number, assigned vehicle, commission rate, employment status, and on-duty status.
  • Dispatch and job content: tow call details, customer names and phone numbers, pickup and drop-off addresses, vehicle make/model/VIN, photos and notes uploaded during a job, signatures captured on waivers, and invoices.
  • Payment information (Customer Organizations only): billing contact, billing address, and the last four digits of a payment card. Full card numbers are processed and stored by our payment processor (Stripe) and are never received or stored by TowScribe.

1.2 Information Collected Automatically

  • Location data: when you grant permission and use an authorized driver-tracking feature, the mobile applications collect your device's GPS location. Location is used to show your position to authorized dispatchers, support dispatch and routing, and provide job-progress information to the applicable end customer. On Android, collection begins only after you choose "Go on duty" and may continue while the app is not visible through a location foreground service with a persistent notification and an off-duty control; the Android application does not request the system background-location permission. On iOS, location may continue in the background while driver tracking is active and iOS displays its background location indicator. Collection stops when you turn off the applicable tracking control, sign out, revoke location permission, or the operating system or application stops the tracking service.
  • Device and app data: device model, operating system version, app version, language and time zone, mobile carrier, crash logs, and diagnostic information.
  • Push notification tokens: Apple Push Notification service (APNs) and Firebase Cloud Messaging (FCM) device tokens used to deliver job alerts, dispatch offers, and messages. Tokens are bound to your account and are retired on sign-out when the notification provider and network are available.
  • Usage data: features accessed, screens viewed, actions performed, IP address, and timestamps. We use this to operate, secure, and improve the Service.
  • Communications metadata: for organizations using our calling and messaging features, we and our telephony provider (Twilio) record metadata about inbound and outbound calls and SMS messages (caller/recipient phone number, call duration, timestamp). Where permitted by the Customer Organization and applicable law, we may also record call audio and SMS content for quality assurance, training, dispatch records, and dispute resolution.

1.3 Information from Optional Permissions

  • Camera and photo library: used only when you actively take or select a photo to attach to a tow job or vehicle inspection. We do not access your camera or photo library in the background.
  • Calendar: if you grant access, scheduled tow calls can be added to your device calendar. We do not read your existing calendar entries.
  • Contacts: TowScribe does not request access to your device contacts.

1.4 Information from Third-Party Sign-In

If you sign in with Apple, Google, or Microsoft, we receive your name and email address as authorized by that provider. We do not receive your password. Sign in with Apple may provide a private relay email address, which we will use for account communications.

1.5 Google User Data (Sign-In and Calendar)

This section describes specifically and comprehensively how TowScribe accesses, uses, stores, shares, and protects data obtained through Google APIs, including Google Sign-In and, if you choose to connect it, Google Calendar. The same practices apply to the equivalent Microsoft (Outlook) integration.

What Google user data we collect. When you sign in with Google, we receive your name and email address (we never receive your password). If you connect your Google Calendar, an optional feature you enable from your profile, we receive an OAuth access token and refresh token for your Google account, and we store the identifiers of the calendar events that TowScribe itself creates. We do not collect, read, or store your existing calendar events, your free/busy information, your contacts, or any other Google data.

How we use Google user data. We use your sign-in name and email solely to authenticate you and identify your TowScribe account. We use the Google Calendar authorization (the calendar.events scope) solely to create, update, and delete the tow-job and truck-maintenance events that TowScribe generates on your calendar, so your work schedule stays in sync. We use Google user data only to provide these user-facing features, and we request the narrowest scope necessary.

How we share, transfer, or disclose Google user data. We do not transfer or disclose your Google user data to third parties for any purpose other than providing these features. The only processor that handles this data on our behalf is our cloud hosting provider (Microsoft Azure), which stores the encrypted tokens so the sync can run. We do not sell your Google user data and we do not share it for advertising. We may disclose it only where required by law.

How we protect Google user data. Security procedures are in place to protect the confidentiality of your data. OAuth access and refresh tokens are encrypted at rest; all data is transmitted over encrypted connections (TLS); and access is restricted through role-based access controls and audit logging.

Data retention and deletion. We retain your Google Calendar authorization only while your connection is active. You can disconnect at any time from your profile. Disconnecting removes the events TowScribe created from your calendar and deletes the stored OAuth tokens, revoking our access. You may also request deletion of your data by emailing privacy@towscribe.com. When our retention need for a given type of data ends, we delete or de-identify it.

Limited Use. TowScribe's use of Google user data is limited to providing and improving these user-facing features. We do not use or transfer Google user data for targeted, personalized, retargeted, or interest-based advertising; for selling to data brokers or information resellers; for determining credit-worthiness or for lending purposes; for building or enriching databases; or for training artificial-intelligence or machine-learning models. TowScribe's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

1.6 Sources of Information

We collect information from the following categories of sources:

  • You and the devices, browsers, and applications you use to access the Service;
  • Your Customer Organization and its authorized users, including drivers, dispatchers, administrators, and contractors;
  • End customers, property owners or managers, motor clubs, insurers, law enforcement, and other parties involved in a tow, roadside-assistance request, impound, or related business transaction;
  • Connected services and vendors, including identity, calendar, communications, payment, mapping, and email providers; and
  • Government or other public records, when a Customer Organization uses those records in connection with the Service.

1.7 AI-Assisted Processing

Some optional Service features use artificial intelligence ("AI") to assist with limited operational tasks. Depending on the features enabled by a Customer Organization, these tasks may include interpreting portions of a voicebot conversation, extracting vehicle or document information, identifying possible vehicle damage in photographs, structuring an intake request, or producing an operational summary or suggested finding.

To provide these features, we may send relevant Customer Data, such as a caller's transcribed words, photographs, uploaded documents, vehicle information, or related job context, to an AI service provider such as Anthropic orOpenAI. The provider used may vary by Customer Organization, feature, availability, or platform configuration. We and the Customer Organization may retain the inputs, structured results, usage records, and operator-reviewed findings as part of the applicable job or business record under Section 4.

AI output may be incomplete or inaccurate. AI features are intended to assist, not replace, qualified human judgment and are not the sole authority for vehicle safety, damage attribution, employment decisions, legal conclusions, emergency response, or other consequential decisions. We do not use Customer Data to train aTowScribe general-purpose AI model. Third-party AI providers process information under their applicable business terms and data-processing commitments; their limited technical retention, if any, may depend on the provider and account configuration in use.

2. How We Use Information

  • To provide, operate, and maintain the Service.
  • To assign, dispatch, route, and track tow calls.
  • To send transactional notifications (job alerts, dispatch offers, messages, password resets, billing).
  • To enable communications between drivers, dispatchers, and end customers via voice and SMS.
  • To process payments and manage Customer Organization billing.
  • To provide customer support and respond to inquiries.
  • To provide AI-assisted extraction, classification, analysis, and documentation features requested by a Customer Organization.
  • To monitor, secure, troubleshoot, and improve the Service, including detecting fraud and abuse.
  • To comply with legal obligations and enforce our Terms of Service.
  • To produce aggregated, de-identified analytics that do not identify any individual.

We do not sell personal information, and we do not use your information for cross-context behavioral advertising. We do not use location data for advertising purposes.

3. How We Share Information

3.1 With Your Customer Organization

If you access TowScribe through an employer or contracting organization, that organization is the controller of the data you generate inside the Service. Administrators of your organization can view your profile, job activity, on-duty status, GPS location while on active jobs, performance statistics, and communications conducted through the Service.

3.2 With Service Providers (Sub-processors)

We share information with vendors that help us operate the Service. These vendors are contractually required to protect your information and use it only for the purposes we specify. Our principal sub-processors include:

  • Microsoft Azure: cloud hosting, database, and storage (United States).
  • Twilio: voice calling and SMS messaging.
  • SendGrid: transactional email delivery.
  • Stripe: payment processing for Customer Organization billing.
  • Apple Push Notification service (APNs) and Google Firebase Cloud Messaging (FCM): push notification delivery.
  • Apple, Google, Microsoft: identity providers (only if you choose to sign in with their service).
  • Azure Maps and Google Maps services: to geocode addresses, display maps, and calculate routes.
  • Anthropic and OpenAI: optional AI-assisted processing described in Section 1.7.

3.3 With End Customers and Third Parties During a Job

To complete a tow request, the end customer (the person whose vehicle is being towed) may receive your first name, truck number, and real-time location while you are en route. Insurance companies, motor clubs, or law enforcement involved in a specific job may receive information necessary to complete that job.

3.4 For Legal Reasons

We may disclose information if we believe in good faith that doing so is required by law, subpoena, or court order, or is necessary to protect the rights, property, or safety of TowScribe, our users, or the public.

3.5 In Connection with a Business Transfer

If TowScribe is involved in a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction, subject to standard confidentiality protections.

4. Data Retention

We retain account information while an account is active and for a reasonable period afterward to administer the Service, respond to requests, secure accounts, and meet legal obligations. Customer Data associated with business transactions, including tow and impound records, photographs, videos, inspection and compliance documents, signatures, invoices, communications, call recordings or transcripts when enabled, and related AI-assisted findings, may be retained at the direction of the Customer Organization and for legal, safety, insurance, claims, accounting, tax, audit, dispute-resolution, and contract-enforcement purposes.

Removing an item from an active product view or deleting an individual user's account does not necessarily delete a business record associated with a completed job. When information is eligible for deletion, we delete it, de-identify it, or render it inaccessible in accordance with our retention procedures. Residual copies may remain for a limited period in backups, security logs, or systems operated by service providers, and information subject to a legal hold or other lawful retention obligation is retained until that obligation ends. A Customer Organization may set or require additional retention periods for Customer Data it controls.

5. Security

We use industry-standard administrative, technical, and physical safeguards to protect your information, including encryption in transit (TLS), encryption at rest for sensitive fields, role-based access controls, and audit logging. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

6. Your Choices and Rights

6.1 In-App Controls

  • You can revoke location, camera, photo, notification, and calendar permissions, as applicable, at any time in your device's system Settings.
  • Android drivers can stop location sharing using "Go off duty" in the application or the persistent location-sharing notification.
  • Where offered by the applicable mobile application, you can manage optional notification categories, update profile information, and change your password from the Profile screen.

6.2 Access, Correction, and Deletion

You may request access to, correction of, or deletion of the personal information we hold about you by contacting us at the address below, asking your Customer Organization's administrator, or using an in-app deletion-request option where available. Because much of the data you generate inside TowScribe is owned and controlled by your Customer Organization, certain requests may need to be directed to your employer.

6.3 California Residents (CCPA / CPRA)

California residents have the right to know what personal information we collect, to request deletion, to correct inaccurate information, and to opt out of any sale or sharing of personal information. We do not sell personal information and do not share it for cross-context behavioral advertising. You may exercise these rights by contacting us at the address below. We will not discriminate against you for exercising these rights.

6.4 EEA, UK, and Other Jurisdictions

If you are located in the European Economic Area, the United Kingdom, or another jurisdiction with comprehensive privacy laws, you may have rights to access, rectify, erase, restrict, or port your personal information, and to object to certain processing. To exercise these rights, contact us at the address below. Our lawful bases for processing include performance of a contract, our legitimate interests in operating the Service, your consent (where required), and compliance with legal obligations.

7. International Data Transfers

TowScribe is operated from the United States. If you access the Service from outside the United States, your information will be transferred to, stored in, and processed in the United States. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses for cross-border transfers.

8. Children's Privacy

The Service is intended for use by professional drivers, dispatchers, and administrators 18 years of age or older. We do not knowingly collect personal information from children under 13 (or under 16 in the EEA). If you believe a child has provided us with personal information, please contact us and we will delete it.

9. Account Deletion

You may request deletion of your TowScribe account at any time. TowScribe accounts are provisioned and managed by Customer Organizations rather than created in the Android or iOS application. To request deletion, ask your Customer Organization's administrator, use the deletion-request information in the iOS application's Profile screen where available, or email us at the address below. We will delete or de-identify your account-profile information within 30 days after verifying and approving the request, except where retention is permitted or required by law, necessary for security or fraud prevention, or required by our agreement with your Customer Organization. Account deletion does not automatically delete Customer Data forming part of a completed job or other business record, as explained in Section 4.

See our TowScribe account-deletion instructions for the steps to submit a request and a summary of the data deleted or retained.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you in the app or by email. Your continued use of the Service after the changes take effect constitutes acceptance of the updated policy.
